Correspondence - how to select who to sent to?

Correspondence - how to select who to sent to?

I understand that when airline A initiates a correspondence to airline B, airline B receives an email alert that there is a correspondence from airline A.
 
1) Is this correct?
 
2) How does SIS knows who in airline B should receive this email alert?
 
2a) When creating correspondence, does airline A fills in the email address of the person he wants to correspondence with?
 
2b) OR is this email alert linked to the members' profile? For example airline B updates his profile that all correspondences email alert should go to user #1.
 
2bi) If so, how detailed is the functionality? For example, is it possible to set my member's profile such that for pax correspondences, email alert to be sent to user #1. For Misc invoices charge category Ground handling charge code mishandled baggage, email alert to be sent to user #2.

This is defined in the Member Profile contact details.

2a) When creating correspondence, does airline A fills in the email address of the person he wants to correspondence with?
No.  SIS will take the information from the member profile but you can add several e-mail id's.
 
2b) OR is this email alert linked to the members' profile? For example airline B updates his profile that all correspondences email alert should go to user #1.

Yes - both of such examples are possible.

Charissa: Which tab and field is this pls? With reference to the Member Profile screens attached, where would this be set?

Yes - both of such examples are possible.
Charissa: How do we create such a set-up? Also, in example 2 for Misc, Esther's example is down to the Charge Code level, are Airlines really able to define the required internal party to receive the correspondence at the Charge Code level? Or is it just billing category level, i.e. Pax, Cargo, Misc?

Hi Charissa,

 

In the Contacts tab, if you choose View All Contact Assignments, you will be able to see both the Passenger and Miscellaneous Correspondence Alert contact – here you can choose 1 or multiple persons to be this contact, and they will the receive emails when a correspondence is made to your airline in SIS.

 

Correspondence alert contacts can only be set at the billing category level (Pax, Misc, Cargo, UATP).

 

Unfortunately I cannot provide a screenshot to illustrate my response as the transfer to production activities are currently taking place.

 

However, I hope this answer is clear – otherwise please let me know and I can provide an example screenshot after the freeze is over (Sep 30).

Thanks. This sounds like if Airline A initiates correspondence to Airline B for a Miscellaneous invoice, then the emails will automatically be triggered to a centralized contact person in Airline B, which is defined in the Miscellaneous Correspondence Alert setting in the Member Profile?
 
In our case, as the task of responding to the Correspondence will be decentralized to various end user departments.
 
1. Hence, the Centralized Misc Contact Person will need to internally notify the End User to respond to the Correspondence?
 
2. Will the End User be able to access IS-WEB to respond to the Correspondence even though he is not the one defined as the Miscellaneous Correspondence Alert person? (Assume that the End User is having some form of access in IS-WEB, just that he is not set as a Misc Corr Alert person).

Hi Charissa,

 

Yes – that is correct. The email alerts are automatically generated and sent to the designated Misc-Correspondence Alert contact if your airline receives a correspondence.

 

1. Yes – if the emails are to be distributed even further within the Misc billing category, this will need to be done internally.

2. Yes – if the user permissions are set up by the Super User, then any given user of the member will be able to respond to the correspondence even if (s)he is not the designated Misc-Correspondence Alert contact.
